Maple Bear International School Toronto (“we”, “us”) is committed to safeguarding your privacy and protecting your Personal Information. How We Collect and Use of Personal Information

We collect and use Personal Information for the purposes set out below:

  • To Process Your Application and Registration: We collect Personal Information as part of the application and registration process and use this information to assess your eligibility for our school, process your application, administer your registration and enrollment, confirm your identity, communicate with you about your application, and meet applicable legal and regulatory requirements. If your application is accepted and you register as a student, we will use this information to communicate with you about your courses and to share information about updates and events. The information we collect as part of your application and registration incudes: your full name, nationality, birthdate, a copy of government- issued photo ID, birth certificate, mailing address, email address, phone number, official transcripts from previous educational institutions, report cards, educational history, student index card, course credits earned and your Ontario Education Number. We may collect certain of this information indirectly, such as transcripts we obtain directly from your previous educational institutions.

  • To Process Payments: We may collect payment related information, including your payment card number, expiry date, CVC, mailing address, and first and last name, in order to process your tuition payments.

  • To Provide Student Support Services: We collect Personal Information that you provide to us as a student, including post-secondary plans, community service hours, report cards, educational history, and credit summaries. We use this information to assist with diploma acquisition and post-secondary goals.

  • To Provide and Administer your Courses: We collect the information that you submit through our learning platform (D2L) including course assignments, work product, discussion posts, surveys, and video recordings. This information is collected by our trusted third-party service provider (D2L) on our behalf for the purposes of providing your courses via our online learning platform. The information will be accessed by your teachers for the purposes of reviewing and evaluating your course work, and assessing whether course requirements have been met.

  • To Establish, Maintain, Retain, Transfer and/or Dispose of Your Ontario Student Record: Your Ontario Student Record is the record of your educational progress through schools in Ontario and is established for the purpose of improving your instruction as a student. We collect Personal Information to establish, maintain, retain, transfer and/or dispose of your Ontario Student Record in accordance with our legal and regulatory obligations. This includes information about compulsory credits you have completed, courses you are registered for, your official transcript, a government-issued ID containing a photo (which may be a birth certificate or a passport) and student index card.

    If you already have an Ontario Education Number, we will obtain it from your previous school. If you do not already have an Ontario Education Number, we will provide your name and certain registration information (including date of birth) to the Ontario Ministry of Education to obtain an Ontario Education Number for you.

  • To Provide and Enhance your Experience with our Website and Platforms: We collect information automatically when you access and use our online learning platform, including log-in and log-off times, historical login records. and usage patterns. We use this information to confirm your attendance in courses, verify the number of required hours, and gauge progress. We also collect information automatically when you access our website, including IP address, session logs, and device information. We use this information to provide our Website and Platforms to you and to enhance your experience with our Website and Platforms. How we Share your Personal Information

We may share Personal Information with the following third parties as described below:

  1. Service Providers: Your Personal Information will be transferred (or otherwise made available) to certain third parties (including affiliates) that provide services on our behalf. We use service providers to provide services such as:
    • Software for online learning and teaching, including hosting our online learning platform.
    • Student management and regulatory compliance reporting services.
    • IT system maintenance and website operation.
    • Fraud detection and deterrence.
    • Customer care services.
    • Assisting us with marketing activities, surveys, and promotional events.
    • Providing payment processing services.
    • Our service providers may be located in the U.S., Brazil or other foreign jurisdictions.

Ontario Ministry of Education: We share Personal Information with the Ontario Ministry of Education for the purposes of establishing, obtaining, administering and/or disposing of your Ontario Student Record in accordance with our legal and regulatory obligations. The Ministry of Education’s indirectly collects and uses student information as permitted under the Education Act (which may include education-related research and statistics and planning or delivering programs).

  3. Legal or Regulatory Requirements: We and our Canadian, U.S. and other foreign service providers may provide your Personal Information in response to a search warrant to other legally valid inquiry or order, or to another organization for the purposes of investigating a breach of an agreement or contravention of law or detecting, suppressing or preventing fraud, or as otherwise may be required or permitted by applicable Canadian, U.S. or other law or legal process, which may include lawful access by US or foreign courts, law enforcement or other government authorities. Your Personal Information may also be disclosed where necessary for the establishment, exercise or defence of legal claims and to investigate or prevent actual or suspected loss or harm to persons or property.

  4. Sale of Business: We may transfer any information we have about you as an asset in connection with a proposed or completed merger, acquisition or sale (including transfers made as part of insolvency or bankruptcy proceedings) involving all or part of Maple Bear International School Toronto or as part of a corporate reorganization or other change in corporate control.
